IT Executive - Systems & Infrastructure


Job Description

Job Purpose

The IT & Systems Executive is responsible for supporting and maintaining the Company's IT infrastructure, business systems, websites, and technology services to ensure smooth and secure business operations. The role coordinates with external IT vendors and service providers, provides technical support to users, maintains IT assets and databases, assists in cybersecurity monitoring, and supports system enhancements and digital transformation initiatives across the Group.

Job Responsibilities

  • IT Operations & User Support

    • Coordinate and support the day-to-day operation of the Company's IT systems and infrastructure.
    • Serve as the primary liaison between users and external IT vendors for issue resolution.
    • Coordinate troubleshooting and resolution of hardware, software, network, printer, and system-related issues.
    • Monitor IT service requests and ensure timely follow-up and closure.
    • Assist employees with Microsoft Windows, Microsoft 365, email, and common business applications.
    • Provide first-level technical support and escalate complex issues where necessary.
    • Support branch offices with IT-related matters as required.
  • Systems Administration

    • Monitor the availability and performance of business applications and IT systems.
    • Coordinate software installations, upgrades, patches, and system enhancements.
    • Assist in user account administration and system access management.
    • Support system backups and disaster recovery procedures.
    • Ensure business systems remain operational and up to date.
  • Website & Digital Platforms

    • Develop, update, and maintain the Company's websites and web content.
    • Coordinate website improvements and enhancements with vendors where applicable.
    • Monitor website functionality, performance, and security.
    • Support integration between websites and internal business systems when required.
  • Database & Reporting

    • Maintain business databases and ensure data accuracy and integrity.
    • Perform data entry and data validation activities.
    • Generate reports using SQL and other reporting tools.
    • Assist in database maintenance and optimisation.
    • Support management with business reporting requirements.
  • Cybersecurity

    • Monitor user accounts, access permissions, and system activities.
    • Coordinate antivirus, firewall, endpoint protection, and security updates.
    • Assist in identifying cybersecurity risks and recommending mitigation measures.
    • Report security incidents and coordinate corrective actions with vendors.
    • Promote cybersecurity awareness and compliance within the Company.
  • IT Vendor & Contractor Management

    • Coordinate with IT contractors, software vendors, and service providers.
    • Monitor vendor performance and ensure timely delivery of contracted services.
    • Schedule preventive maintenance and equipment servicing.
    • Assist in evaluating IT products, software, and services.
    • Maintain warranty and maintenance contract records.
  • IT Asset Management

    • Maintain inventory records of IT equipment, software licences, and peripherals.
    • Coordinate procurement, deployment, relocation, repair, and disposal of IT assets.
    • Perform periodic IT asset verification and stock checks.
    • Ensure software licence compliance.
  • Documentation

    • Maintain accurate IT documentation, system configurations, and network records.
    • Prepare user guides, standard operating procedures (SOPs), and technical documentation.
    • Maintain records of IT incidents, maintenance activities, and service reports.
    • Prepare monthly IT performance and operational reports.
  • Project Coordination

    • Assist in implementing new IT systems and technology projects.
    • Coordinate system upgrades, migrations, and deployments.
    • Support User Acceptance Testing (UAT) for new systems.
    • Monitor project progress and report implementation status.
  • Continuous Improvement

    • Recommend improvements to IT processes, infrastructure, and business systems.
    • Research emerging technologies and evaluate their suitability for the Company.
    • Participate in digital transformation initiatives.
    • Support automation and process improvement projects.

Authority

The IT & Systems Executive is authorised to:

  • Coordinate directly with approved IT vendors and service providers.
  • Access Company IT systems within assigned authority.
  • Recommend system improvements and technology solutions.
  • Escalate critical IT incidents to Management.
  • Coordinate scheduled maintenance and system upgrades.

Key Performance Indicators (KPIs)

  • IT support requests resolved within agreed service levels.
  • System and network availability.
  • Website uptime and functionality.
  • Timely completion of IT maintenance schedules.
  • Accuracy of IT asset inventory.
  • Timely completion of IT projects and upgrades.
  • Database accuracy and reporting quality.
  • Compliance with cybersecurity policies.
  • User satisfaction with IT services.
  • Reduction in recurring IT incidents.

Job Requirements

  • Bachelor's Degree in Computer Science, Information Technology, Software Engineering, Information Systems, or a related discipline.
  • Minimum 2–5 years of relevant experience in IT operations, systems administration, IT support, or a similar role.
  • Experience supporting enterprise IT environments is preferred.
  • Experience in the automotive industry is an advantage but not essential.

Technical Competencies

  • Good knowledge of Microsoft Windows operating systems.
  • Experience with Microsoft 365 administration.
  • Basic understanding of computer hardware and troubleshooting.
  • Knowledge of LAN/WAN, TCP/IP, Wi-Fi, VPN, and network devices.
  • Experience with SQL databases and report generation.
  • Basic website administration and maintenance (HTML, CSS, JavaScript, WordPress, or similar).
  • Understanding of Active Directory and user access management is an advantage.
  • Familiarity with cybersecurity principles, endpoint protection, and backup procedures.
  • Experience with ERP, Dealer Management Systems (DMS), HRMS, or CRM systems is an advantage.
  • Knowledge of IT asset management and software licensing.

Working Conditions

  • Office-based with regular travel to Company branches and workshop locations when required.
  • May be required to provide after-hours support during system upgrades, implementations, or critical IT incidents.
  • Required to work closely with external vendors, contractors, and business users.
